**Outline of agreement to be signed once registered**
The Goddess Rooms agrees to facilitate the retreat as selected at the time of booking.
The retreat leader will endeavour to fulfil the activities stated on the itinerary. However, the timetable is subject to change and will depend on a number of factors, including, but not limited to, access to certain sites, suitability of practices for the group, weather conditions etc.
All techniques taught and used on the retreat are subject to copyright.
Reservations and payment
Reservations will only be secured upon receipt of a non-refundable deposit and acceptance of these terms and conditions.
The price stated is to be paid in Great British Pounds and the full amount must be paid immediately. An Invoice prior to this date will be sent.
Payment plans are outlined below in section 2 (xii).
The full balance must be paid in full 12 weeks before arrival.
By paying the deposit you agree to the Terms and Conditions below. Please let The Goddess Rooms know if you have any questions before payment. Once the deposit payment has been paid, the booking is confirmed.

Once deposit payment has been received, a binding agreement between The Goddess Rooms and the client will be made forming the basis of a contract between the two parties. Please read the details below carefully and ask any questions or clarifications using the contact details above.
Once deposit payment has been made, if you decide to cancel you will be liable to the cancellation charges outlined in the cancellation section below.
If The Goddess Rooms needs to cancel or postpone the Retreat due to ill health of a host, under-subscription or any reason outside of their control, you will be informed at the earliest convenience and offered a transfer to another The Goddess Rooms Retreat, or a refund. If the transfer to a different The Goddess Rooms Retreat occurs and your new room is more expensive or cheaper than the original price paid, an additional invoice or part refund will be made accordingly.
We will do everything in our control to ensure the agreed upon arrangements take place. The Goddess Rooms reserves the right to make insignificant changes. If a significant change has to be made in the agenda it will be substituted by an equal counterpart as a replacement. If there is any issue arising from this, please raise it at the time of communication and we can work together to find a solution. Please note the itinerary provided within marketing material is only proposed and subject to change. A final itinerary will be provided during the month your Retreat will take place. Once at the Retreat, you will be informed at the earliest opportunity if anything has had to change for example due to the weather forecast.
The Goddess Rooms will endeavour to ensure marketing information provided to guests is error free. In the unlikely event an error appears we reserve the right to correct in such circumstances. Please check all details on receipt so any errors can be dealt with immediately.
Payment, Cancellation & Changes
Payment
In order to make the booking you will need to pay a non-refundable deposit per person to confirm your place
First Instalment: A further payment is due 20 weeks prior to the Retreat date.
Second Instalment: The final payment is due 12 weeks prior to the Retreat date.
You will be sent reminders for payment prior to the due date. If you have confirmed your place at a Retreat by paying the deposit, but we do not receive full payment by the date requested, a follow up email will be sent. If payment still hasn’t been made after 7 days a late fee of £25 will be added. This will increase by £25 increments each week until the 4th week, see below:
0 - 7 Days – Grace period
8 - 14 Days - £25 late fee
15 - 21 Days - £50 late fee
Where payment is more than 21 days late, The Goddess Rooms reserves the right to treat the booking as cancelled, will keep the non-refundable deposit, any payments made and will re-advertise the room.
If full payment is not received by the due date, The Goddess Rooms reserves the right to cancel the reservation and to retain the total amount paid.
3. Cancellations
Cancellations are subject to the conditions below. Cancellations must be made in writing to [email protected].
In the event of a cancellation, the deposit will not be refunded. However, the amount may be transferred to a friend or family member to use towards the retreat or another service at the discretion of The Goddess Rooms.
Cancellations More than 20 weeks Before the Retreat Start Date: If you cancel after the deposit has been paid but before the first instalment is due (more than 20 weeks before the retreat start date), you can postpone your booking to another retreat within 12 months of the cancellation date. The deposit will be transferred to the new retreat. Please note, if the postponement is not accepted, the £300 deposit is non-refundable.
Cancellations After First Instalment (12-20 Weeks Before Retreat Start Date): If you cancel after the first instalment has been paid (12-20 weeks before the retreat start date), you can postpone your booking to another retreat within 12 months. The amount equal to the first instalment will be transferred to the new retreat. However, the £375 deposit is not transferable and non refundable at this stage.
Cancellations Less Than 12 weeks Before the Retreat Start Date: If you cancel less than 12 weeks before the retreat start date, all payments made are non-refundable, regardless of the reason for cancellation. This includes, but is not limited to, weather, natural disasters, pandemics, acts of terrorism, flight delays or cancellations, health conditions, personal or family emergencies, work emergencies, or simply changing your mind.
If a cancellation is made more than 12 weeks in advance of the start of the retreat, you will be refunded 50% of the total amount paid. This does not include the deposit.
If a cancellation is made less than 12 weeks prior to the start of the retreat you will not be eligible for a refund.
Reservations are for the total period of the retreat and you will not be refunded for any unused portion of the retreat.
4. Travel arrangements
Travel costs and flights are not included in the price of the retreat.
All travel arrangements, including transfers to and from the retreat location are your responsibility, however the Retreat organisers may share with you details of a transfer company to the venue.
You are responsible for ensuring that you have the correct travel documents which are valid for travel to and from the destination.
It is required that you purchase a travel insurance policy to cover the activities of the retreat as well as unexpected cancellation, injuries, sickness, losses and any other relevant events that may occur during or after the retreat.
5. Accommodation and personal belongings
Costs of accommodation are included in the price of the retreat, this is on a shared basis.
It is your responsibility to ensure that you have a valid travel insurance policy which provides cover for any unexpected costs, losses or liabilities that may arise.
All agreements in relation to accommodation are made directly with the hotel/accommodation provider. Any disputes are to be raised directly with the hotel/accommodation provider.
The Goddess Rooms will not be held liable for any disputes that arise in relation to the provision or suitability of accommodation.
It is your responsibility to ensure that your personal belongings are kept safe at all times. The Goddess Rooms will not be held responsible for any loss or damage to personal belongings at any time during or after the retreat.
Guest obligations: to keep the property and furnishings, kitchen equipment, crockery, glasses, bedding and towels clean and in good condition and be responsible for paying to repair any damage caused by you during the Retreat. If you break or damage any item please let the retreat host know at your earliest convenience so they can get a quote for repair, which will then be invoiced to you. Please note, use of the venue is at your own risk. If you notice anything which may cause any safety concern, please inform the retreat host as soon as possible so it can be fixed.
If you accidentally leave any items at the venue these can be forwarded on with a minimum handling fee of £20 plus postage. Anything unclaimed will be disposed of after 28 days.
If any unforeseen circumstance occurs and the venue has to cancel the booking due to a fault or matters outside of their control, The Goddess Rooms will try to secure a similar venue, or propose a new Retreat date.
6. Health
It is your responsibility to ensure that you have in place a valid travel insurance policy which includes the appropriate level of cover for any accidents or injuries that may occur at any time during or after the retreat.
All services or products provided by us during the retreat are for the purposes of guidance and assistance. We do not provide any guarantees and the services are not intended to cure any illness or to replace any professional medical advice.
If you feel unwell at any time during the retreat you are advised to seek medical attention immediately.
You are solely responsible for your experience whilst on the retreat and we do not provide any guarantees with regard to the effectiveness of services or products.
It is your responsibility to inform the retreat leader of any injuries or conditions you have which may impact on your ability to participate in activities.
The retreat is open to all ages, but please note that activities will involve movement, dance, yoga and breathing activities. If you experience any discomfort during the retreat then you must refrain from participating.
This retreat may not be suitable for pregnant women or those who have serious physical or mental illness.
Please advise us at the time of booking if you have suffered from any serious physical, mental or emotional illness in the past 5 years, or if you are under any medical or psychiatric supervision, this includes any medication you are on.
Alcohol and recreational drugs are not permitted on retreat, if you are under the influence we reserve the right to cancel your place on the retreat.
If you are in doubt with regard to your ability to participate in the retreat please contact us beforehand to discuss suitability.
It is your responsibility to ensure that you do not have any allergies to any food provided or consumed whilst on the retreat.
7. Confidentiality
(i) Confidential information refers to any data or information relating to you, whether business or personal:
- which would reasonably be considered to be private or proprietary to you;
- that is not generally known, and;
- where the release of that confidential information could reasonably be expected to cause harm to you.
(ii) The Goddess Rooms agrees that we will not disclose, divulge, reveal, report or use, for any purpose, any confidential information which we have obtained, except as authorised by you or as required by law. The obligations of confidentiality will apply for the duration of the retreat and will survive indefinitely upon termination of this agreement.
(iii) All written and oral information and material disclosed or provided by you to The Goddess Rooms under this agreement is confidential information regardless of whether it was provided before or after the date of this agreement or how it was provided to us.
(iv) Any information disclosed by other participants as part of the retreat must also remain confidential.
8. Photography
Photos will be taken during the retreat and will be used for the purposes of publicity, illustration, advertising, publishing, any other product or services offered by The Goddess Rooms.
If you do not want your photo to be shared please let the retreat leader know prior to the retreat.
9. Force Majeure
(i) If, as a result of an act of God, force majeure, public emergency, restriction imposed by law or for any other cause beyond The Goddess Rooms reasonable control, we are unable to provide services to you, The Goddess Rooms shall not be in breach of this agreement but shall be authorised to substitute a reasonably satisfactory date and time to provide services.
(ii) If no such time is available, the remainder of the fees due for any service(s) that have not yet been provided will be waived.
(iii) The Goddess Rooms shall not be liable for inability to provide services or fulfil the agreement in those circumstances.
10. Termination
(i) The Goddess Rooms reserves the right to terminate this agreement at any point if we feel that you are being disruptive, are acting in breach of the law, or are in violation of this agreement. All fees will become payable by you upon termination of this agreement.
11. Governing Law
This Agreement shall be interpreted, construed and enforced in accordance with English law and shall be subject to the exclusive jurisdiction of the English Courts.
12. Disclaimer
(i) The purpose of this retreat is to aid overall health and wellbeing. We do not claim to cure any illnesses and the activities on this retreat should not replace any medical advice that you have been given. We do not provide any guarantees in relation to the effectiveness of our services or products.
(ii) Participants assume the risk involved when participating in foreign travel, and any and all activities and/or pursuits voluntarily undertaken while participating in the retreat.
(iii) The Goddess Rooms will not be held liable for any injuries suffered or any losses incurred or aggravated during or after the retreat. The Goddess Rooms will not be held responsible for any damages, expenses or inconveniences caused by late departures or change of schedule, strikes or changes to conditions, nor will we be responsible for loss or damage to baggage or any of the participant's belongings. We will not be liable for any changes or consequences caused by acts of terrorism, war or threat of war, acts of God, natural disasters, technical problems, illness of participants or any other events beyond our control.
13. Entire Agreement
(i) This Agreement is the entire agreement and understanding between The Goddess Rooms and you and supersedes any prior agreement or understanding whether oral or written relating to this Agreement.
